I will share my experience in Indian private limited company incorporation. I considered both VakilSearch and IndiaFilings. When I searched for reviews 50% of users criticized both companies for their lack of support and lack of professionalism. Still, I wanted to do this fully online instead of approaching a CA locally. But I didn’t find any other good alternative. So I chose IndiaFilings which is popular (as per Semrush) between the two. Let’s hope for good!

I chose their “Private Limited Company” registration package which is ₹6,899.00 for companies from Tamil Nadu. The payment process with CCAvenue was smooth, and I had no issues.

I wasn’t happy with their product page since it doesn’t display the price.

I received the estimation both in my email and in WhatsApp before proceeding to the payment page. Then I received a call from their team (also a WhatsApp message). Since it was midnight I wasn’t happy and cut the call. I’m the one who proceeded with payment at midnight. But still, I didn’t expect a call in the middle of the process.
Then I proceeded with payment and received the confirmation email from CCAvenue. The sad part is I didn’t receive any receipt or confirmation email from IndiaFilings after the payment.
In addition to that, I received a 500 server error if I tried to log in. It was Laravel’s default error page. So I just went to sleep.

In the morning, I had some time after dropping the kids at school. So I called the same phone number which I received at night. I know this is too early in business hours but since their representatives were active at midnight I thought they would pick up in the morning too. Initially, no one picked up the call. But the same person called me after a minute.

His name is Arun. He told me that I would receive a confirmation email only during business hours (after 9AM) since it is a manual process. In my opinion, it shouldn’t be a manual process. He told me that my login issue would go away after the confirmation email.

I received the confirmation email mentioning that a relationship manager will be assigned shortly.

I called them since the login issue remained even after the confirmation email. They told me to try “Forgot Password”. I told them it’s not a password issue and the error is on their side. I think the representative didn’t have any idea about the login problem. He said the issue will be resolved once the relationship manager is assigned.
Also, I told them my preferred company name in the call.

I received an email saying that a relationship manager named Saiprasath was assigned.

As I suspected, the login issue wasn’t resolved after the relationship manager assignment.

I received a call from my relationship manager. He confirmed my company name with OTP so that we could proceed with the approval process. I sent the list of documents I should provide for the incorporation.
I mentioned to him about the login issue in their website. He told me it would be cleared once he started the process. But I wasn’t fully convinced.

Again, the login issue didn’t resolve at all. I received the same error message all the time.
Generally, all the representatives didn’t want to take responsibility if a new edge case issue was raised. They just telling you the templated reply again and gain.

Now I’m writing this post. Still, I haven’t received an acknowledgment email from their side regarding my documents. Which is not professional for a big company.
My login issue has also not been resolved yet. I should call them again tomorrow.

I tried one of the customer care numbers. The automatic voice said that I should wait for some time before a representative attended to me. But I didn’t get any response. I even tried the same number again after some time.

Then I called my relationship manager. I got his number from the app which I’m able to access. I complained about the login issue on
dash.ledgers.cloud. He said that their programmers already looking into it and it will be resolved soon. Then he also acknowledged that my documents were received and he would start the incorporation process today.6th January 2025 03:00 PM
I called my relationship manager since I got no update on the incorporation process and the login issue. He again asked me whether I sent the documents or not. I explained to him that I already sent it on 1st day itself. He apologized and said he got confused since he handles multiple clients. And he said he would start the required process today itself and he would call me with an update.

The relationship manager Saiprasath called me and said we could quickly go through the Digital Signature acquiring process if I had time. Then the process is started by sharing a few OTPs from both SMS and email for Aadhar verification and other requirements. Later we paid ₹991.20 per shareholder to get the Digital Signature for everyone. This process includes video e-KYC verification which each shareholder should complete to obtain DSC.

In the last call, I reminded him that the login issue in the web app still exists. He wasn’t sure why the error was still not fixed. He said he would check this issue with their tech team.

I called the relationship manager to get an update. He said we should wait until the company name registration is complete before proceeding.

I received a call from my account manager and she said that my company name registration is delayed on the government side. She claimed that three hundred more applications were also pending from IndiaFilings. She said they raised a ticket regarding this issue. She informed me that it is unlikely to complete the incorporation process in 25 days.
I told her about the login issue. She said I should send a screenshot in the WhatsApp group started. Later I checked my phone and didn’t find any group. I should check with them again.
The government should put some effort into making the process easy if the delay they claim is true. I incorporated a company in Singapore last year. All the work is completed (remotely) in just two business days. I’m not even expecting the same speed here. We should at least complete the process in a month.

I called the account manager twice (11:37 AM and 01:58 PM) regarding the WhatsApp group question. But they didn’t pick up.
Then, I called the relationship manager and explained the issue again. As he said I forwarded the error screenshot to him in WhatsApp.

On Jan 11th, I received an email saying that my company name was approved. I called Saiprasath on Monday and told him the same. He confirmed it and said we could submit a few other forms today. Later he sent a few templates where the directors should sign for specimens. And a NOC letter to get a sign from the office landlord. Since the office is our own place we easily prepared the documents and sent them back at 1:24 PM.

After his lunch, he wanted a minor change in the existing bank statement. So I sent a new one and after sometimes all the documents were submitted and I received the confirmation emails 🙂

I called Saiprasath to check whether we have any pending tasks to do on our side. He confirmed that all the pending tasks are done. And the company registration process is now going on the government side.
One of the documents mentioned “Kotak Mahindra Bank” in it. I asked about it and I said I’m preferring “DBS Bank” which I mentioned in the initial sales call. He said the bank name mentioned in the document is not final. It’s just for the documentation purposes only.
Later I asked for the login issue on the web. He said he already alerted the tech team about the issue and they’re the ones who take the step now. He recommended calling the salesperson to report the login issue one more time which may prioritize the problem.

I received a call from Manisha (IndiaFilings compliance team). She asked me whether I already have an auditor to follow all the compliances with the government and manage company accounting. Since I didn’t have anyone I agreed to their compliance package which includes accounting and compliance for a year. It cost ₹23,480.82 with taxes. I paid it via their CCAvenue payment gateway. After she said their CA details would be submitted to the government to proceed.
In the meantime, I informed her about the login issue before the payment. She assured me to resolve that issue soon.

Nancy (IndiaFilings banking associate) sent WhatsApp messages regarding the creation of a bank account with South Indian Bank. I told her I wanted to create a zero-balance account with DBS Bank as they advertised (see the first image) and as the salesperson initially agreed. She said now the South Indian Bank only provides a zero balance account and for DBS she has to check with the team.

I called Nacy to get an update on the bank account. She didn’t pick up the call. So I messaged her on WhatsApp instead. She replied that a person would contact me after the incorporation regarding the bank account creation process.

Nancy called and asked me whether I was okay with sharing my contact details with South Indian Bank or not. And she confirmed that currently, it is not possible to initiate the banking process with DBS Bank.

South Indian Bank representatives visited us regarding the bank account creation. After confirming our location they asked us for the company incorporation certificate, PAN card, and other details to start the process. I told them the company registration process is still pending on the government side and I will send the documents soon after I receive them.
Since these documents are required for the account creation process IndiaFilings team could have shared my contact later after the registration.

I asked Saiprasath about the incorporation process and he confirmed that everything is completed on our side and we should wait until approval from MCA.

I received an email from mca.gov.in with the subject “Application approved”.
Yep, our company incorporation is completed. Along with the company registration certificate we received both PAN and TAN details.
Even at this stage, my web login issue is not resolved. Later while starting the GST registration process I told them I would pay only after resolving the login issue. Then the tech team quickly connected with me and resolved the issue quickly.
